How to add or adjust Catalogs to Search:

Catalogs to Search groups are lists of targets searched when patrons enter searches.  The more sites in Catalogs to Search groups for patrons, the larger the number of targets from which they may receive results, and therefore the more collections your patrons may benefit from.  It is suggested that one Catalogs to Search group include all MA Virtual Catalog targets that are lending and borrowing as the default group.  Non-lending members may be searched.

As new members are added or other members withdraw temporarily these lists need to be adjusted.  Directions on how to add or remove sites to Catalogs to Search groups are below.

1. Login as a manager level login, at http://ursa.lib.umb.edu/~epixtech/staff_login_content.html or www.massvc.org lower right.

This brings you to the Staff Menu.

2. Click:  Administrative functions

3. Click:  Catalogs to Search

4. Choose the Catalog to Search group you wish to change by highlighting it in the pull down menu, then clicking the “Display Catalogs to Search” button underneath.  At UMASS Boston:

5. In the left hand list Catalog Choices, highlight the site at top and see it appear on the right pull down menu, Catalog Selections (see below).

Left mouse click.  FLO appears heare

Note:   The top catalogs to search group in the Catalog Selections list, currently BRIDGEW, seems to be not easily highlighted at times, so adding another target such as CLAMS temporarily and then deleting it afterward may alleviate this problem.  Please call the helpdesk at 617-287-5926 or email vc.helpdesk@umb.edu if any questions come up.

6. Now the new target should appear in the right hand list, at the bottom of the list.  Scroll down if needed.  Click the “modify catalogs to search” button at the bottom of the screen if the new target appears.  If not try step 5 again or call the helpdesk at 617-287-5926.

6a. To remove a target, highlight it in the list to the right, Catalog Selections, and hit the “delete” key on your keyboard.  It should disappear from the list.  Now click “modify catalogs to search” at bottom (see screenshot below).

Note:  “Clear Selections” clears _all_ selections, so do not use it to remove just one target.

7.  Go back to the Catalogs to Search menu by clicking the green button on the left hand side:

8. If there are any more Catalogs to search groups to change, do steps 4-7 for them.

  1. When done, login in patron search mode as a patron and try a search.

  1. The new target in this case FLO should show in “Combined Results” summary (see below):

11.  Note:  To make a search group appear by default in the pull down menu for patrons (“Academic & Public” below) or in the pull down for staff go to the administrative menu, click “Library Profiles” and adjust the “default catalogs to search” setting near the top of the screen (see below).

Highlighted choice above results in the circled default below:
